How to apply for an ITM course or programme?
In this guide
This guide provides technical guidance on the application process for our courses and programmes. Each step is explained in text and video.
All content was created by the Institute of Tropical Medicine. Artificial intelligence was used only to generate the voice-over in the videos (via Typecast).
Step 1. Explore courses and programmes
Found a course or programme that interests you? That’s great!
At the top right of the course or programme page, you’ll find key details such as the number of ECTS credits, the language of instruction, the location, the teaching modality, and the start and end dates. The teaching modality indicates whether the course is taught face-to-face, through distance learning, in a blended format, or in a hybrid setup. If it’s a face-to-face course, you can expect lectures from Monday to Friday, usually in the mornings and afternoons. For hybrid courses, you can choose whether to attend on campus or follow the course online.
If you decide to apply, make sure to submit your application before the deadline.
The About the Course tab provides essential information about the course content and learning objectives. Under the Course Programme tab, you’ll find more detailed information to help you plan ahead. The Practical Information tab includes details on scholarship opportunities, eligibility criteria, and the selection process. Some courses also include a Testimonials tab with alumni experiences, or a Career Prospects tab informing you about possible career paths.
If you have specific questions about a course or programme, you can email the contact email address listed in the blue box on the right-hand side of the page. There, you will also find the names of the course organisers and information about the tuition fees. For general questions about applying or studying at ITM, feel free to contact itmedu@itg.be.
Please note that if you applied for this course in a previous academic year, you will need to submit a new application.
Step 2. Start your application
Click the Apply button on the course or programme page. This button is only visible during the registration period and will take you directly to the application form in the Student Portal.
You should open and complete the application form on a laptop or desktop computer. We recommend using the latest version of Google Chrome, Mozilla Firefox, or Microsoft Edge. If the page does not respond, try refreshing it.
You do not need to complete your application in one session. You can return to it at any time by visiting https://student.itg.be.
To log in or create a new account, enter your email address. You will receive a 6-digit code by email. If you do not receive the email, please check your junk or spam folder. Enter this code to access the Student Portal.
If you wish to apply for more than one course, please use the same account for all applications. This ensures that your applications are correctly linked and processed.
Step 3. Navigate the Student Portal
Welcome to the Student Portal! Your application form will open automatically. You can navigate through the different sections of the form by clicking the section names listed on the left side of the screen.
If a section icon appears in red, it means that required information is still missing.
Make sure to fill in all required fields, which are marked with an asterisk (*). In some cases, you will need to click a + button or a Save Record button to confirm your input. All other information is saved automatically as you progress through the form.
At the top of the page, the My Enrollments tab gives you an overview of all applications you have started or completed. You can use it to switch between applications easily.
Step 4. Enter your personal information
Start by filling in your personal details, address, and contact information. For date fields, use the requested format, or click the calendar icon to select the date.
To enter a country, begin typing the name and choose the correct option from the dropdown list.
In Address info, you are asked to provide both your home address and your contact address. If your contact address is the same as your home address, please select the toggle .
In Contact info, please fill in your primary phone number, and, if applicable, a secondary email address and phone number.
In the Other Info section, you are asked to provide additional information related to your personal profile.
For your main professional focus, select the option that most closely reflects your job roles over the past five years. If you do not yet have work experience, choose the option that best matches your highest educational qualification.
You should also select the appropriate toggle if any of the following apply to you:
You are a native speaker or hold a higher education diploma in the language of instruction.
You are a TropEd student (visit troped.org for more information).
You are a PhD student.
Step 5. Upload a profile picture
Upload your profile picture by clicking the edit icon and selecting an image from your device. Ideally, this should be a passport-style photo. Make sure your picture is in .jpg, .jpeg or .png format.
This picture will be used for your entrance badge, so make sure it’s clear and professional.
Step 6. Add your education and work experience
Start by adding your higher education degrees, both completed and ongoing. It is not necessary to list short workshops you have attended or primary or high school degrees.
For studies you are currently pursuing, be sure to select Education in progress instead of entering an end date. After filling in the details, don’t forget to click Save record to add the degree to your profile.
Next, add your relevant work experience, including any current job. For your current job, select Current employer instead of entering an end date. Once you have entered the details, click Save record to add the work experience to your profile.
If you do not yet have any work experience, simply select I have not yet acquired work experience.
Step 7. Upload your supporting documents
Before uploading any files, make sure to read the description for each field carefully to ensure you provide the correct documents. Check the course or programme page to see whether you need to upload proof of language proficiency, and which specific documents are required based on the eligibility criteria.
For English language proficiency, please consult the linked document outlining accepted proofs and helpful preparation resources.
To upload your documents, click Drop a file to upload and select the correct file from your device. You can also drag and drop the file into the relevant field.
Step 8. Add referees and provide funding information
The Referees and Funding sections will only appear for courses or programmes where these details are required.
Start by adding your referees. Fill in their details and click Save to add them to your application.
In the Funding section, provide a brief overview of how you plan to finance your studies at ITM. You may find the following links helpful:
To enter your funding details:
Select a cost type and a funding source
Fill in the name and the approximate amount
Click the + button to save
If you are applying for the Romain De Cock scholarship, select Other as the funding source and enter Romain De Cock as the name.
You can upload any supporting documents by clicking the file field or by dragging and dropping the file. Finally, provide a short explanation of how you plan to cover your study and living expenses.
If DGD scholarships are available for your selected course and you wish to apply, the previous section is not mandatory. Instead:
Select I want to apply for DGD funding
Download and complete the DGD Application Form
Upload the completed form in the same section
Step 9. Build your study plan
The Study Plan section is only shown for Postgraduate Certificate programmes and Master's programmes.
Postgraduate Certificate programmes
If you are applying for a Postgraduate Certificate programme, this section will be mostly pre-filled. You do not need to enter a thesis title or select advanced courses. However, if you have previously obtained credits for a similar course at another institution or at ITM and would like to request an exemption, change the course status from non-exempt to exempt. Then, indicate which course you have followed under Other courses:
If you have completed an ITM course from the academic year 2023-2024 onward, you can select this course from a dropdown under Successfully completed ITM courses. Click the + button to save.
If you have previously obtained credits for a similar course at another institution or at ITM before academic year 2023-2024, add the details of the course you followed under External courses in the Other courses section and click the + button to save.
Your exemption request will be reviewed during the selection process.
Master's programmes
If you are applying for a Master’s programme, you will need to create a preliminary study plan of at least 60 ECTS. This plan can be adjusted once the programme starts, in consultation with the programme coordination.
Start by selecting whether you will follow the programme full-time (completed within one year) or part-time (spread across two to five years) using the toggle at the top of the page. Applicants for the Master in Global One Health should select the part-time track.
Core courses are mandatory and automatically included in the study plan. If you have previously acquired credits for an equivalent core course, you may request an exemption by changing the course status from non-exempt to exempt. Then, add the details of the course you followed under External courses in the Other Courses section. Your exemption request will be reviewed during the selection process.
You must also fill in a provisional thesis title, as the thesis is a compulsory part of the Master’s programme.
Next, choose your advanced courses. These are electives that allow you to customise your study plan according to your interests and goals. For more information about each course, consult the Programme Structure section on the programme page of your master's programme of choice.
Select the advanced courses for your study plan by clicking on the course titles under Recommended Courses. You can only select a course once. If you are following a part-time track, select the year you expect to follow the chosen courses under Your Selection.
Would you like to add an ITM course that is not listed under Recommended Courses? Please request approval in advance by contacting the programme’s email address listed on the programme page. Once approved, you can add it under Other ITM courses by selecting the course and clicking the + button.
If you have completed an ITM course from the academic year 2023-2024 onward, you can select this course from a dropdown to request an exemption under Successfully completed ITM courses. If you have previously obtained credits for a similar course at another institution or at ITM before academic year 2023-2024 and would like to request an exemption, add the course details in the External courses section under Other courses.
Step 10. Review course delivery in Practical Info
In the Practical Info section, you will see an overview of the courses in your study plan and whether these courses are taught face-to-face, online, blended, or hybrid. Note that the Master in Global One Health follows a different scheduling structure, so these instructions do not apply.
If there is an overlap between face-to-face courses, please remove one of the courses from your study plan. You can only follow one face-to-face course at a time.
If you have selected a hybrid course, please indicate whether you will attend the course online or face-to-face.
Step 11. How did you find us?
Please tell us where you first heard about ITM, or about the specific course or programme you are applying for, by selecting the appropriate option from the dropdown and providing additional details when prompted.
Step 12. Submit your application
In the Status section, click the Submit My Application button. This button will only appear once all mandatory fields have been completed.
Make sure to submit your complete application before the deadline. Once submitted, you will no longer be able to make changes. If any crucial information needs to be updated after submission, please contact the course’s contact email address or reach out to itmedu@itg.be.
Only submitted applications are reviewed. All applicants will receive a response. Please note that the selection process may take a few months.
Step 13. Further questions about the application process?
If you encounter any technical issues that are not covered in this guide, or if you have additional questions, please contact the email address listed for the course or programme you are applying for, or reach out to itmedu@itg.be.
