Practical information

Venue and language

On-site registration will take place at Campus Rochus, Institute of Tropical Medicine, Sint-Rochusstraat 41, Antwerp, on Monday 24 November 2014 between 1 and 2 p.m.
All sessions will take place in Aula P.G. Janssens.

The colloquium language is English.

Lunches and coffee breaks will take place in the Forum in Campus Rochus and are included in the registration fee.

Poster presentations

All posters will be on display for the participants during the 3 days of the colloquium. In addition, the programme includes 2 dedicated 1-hour poster sessions (after lunch on Tuesday 25 November and Wednesday 26 November).

On Day 1 posters linked to colloquium themes 1, 3, 4, 5, and 6 will be highlighted.
On Day 2 posters linked to theme 2 will be put in the spotlight.

A prize will be awarded for the most ground-breaking and best presented poster at the end of the colloquium. If you have submitted a poster, we kindly ask you to be present during the dedicated poster session.

Registering your poster

If you wish to present a poster, please indicate so during registration. Only posters linked to the colloquium themes will be accepted.

Hand over your poster at the registration desk on Monday 24 November at the latest.

Your poster may not be larger than 120 cm (h) x 90 cm (b) in portrait orientation. We do not accept posters exceeding the size limit.

Printing your poster

Exceptionally and only in well-motivated cases, ITM can offer a printing service if your poster is submitted in a correct format before 15 November 2014. Please motivate your request when sending your poster abstract to colloq2014@itg.be if you would like to apply for this service.


Tables will be placed at the entrance of the Forum where you can deposit flyers, handouts of your presentation or other documents presenting your (net)work.

Networking facilities

The ITM can provide a meeting room for networking sessions after the colloquium. If you wish to take this opportunity, please contact us before 1 November 2014, mentioning:

  • The name of your network
  • The meeting time
  • The expected number of participants

Meeting rooms are limited. There is no guarantee that a meeting room will be available until you receive written confirmation from us.

Registration and fees

The number of seats is limited (180), so register as soon as possible. Registration will only be final after payment. Invited participants do not need to register.

The closing date for the registration is 24 October 2014.

Registration fees have been kept as low as possible thanks to the generosity of the colloquium sponsors. The registration fee covers admission to all sessions, 30 networking cards per participant, morning coffee sessions, coffee breaks, lunches and the abstract book.

The official colloquium dinner will take place on Wednesday 26 November 2014 from 7 p.m. until 10.30 p.m. in the Glass Room of the BNP Fortis Bank in the touristic centre of Antwerp. The evening consists of a reception, followed by a walking dinner that caters to vegetarians and various food preferences.

Miscellaneous information

Passports, visa and travel

Check the validity of your passport and the requirements for a visa. A letter of invitation can be obtained from the colloquium secretariat upon request and after payment of the registration fee, but is not a commitment for the payment of any expenses.
Invited participants will receive assistance from the colloquium secretariat for their visa application.


The colloquium organisers are not responsible for any loss, accident or injury that may occur during the meeting.

Insurance and medical assistance

Obtain appropriate travel insurance and a proper health and accidents insurance as well as a civil liability insurance to ensure your entry into Belgium. If you have an acute health problem, you can rely on the dispensary of ITM for medical assistance.


The ITM offers free internet access. Some hotels do the same, but most of them will ask a fee.


In November, the average temperature in Belgium can be as low as or even below 0°C and it may be rainy or snowy.
